UCLA Health, which is part of the University of California, Los Angeles, is looking for a friendly and organized person to join their team. This job is for a full-time Front Office Admin Support role in the Department of Psychiatry and Biobehavioral Science. You will be helping with important tasks to keep things running smoothly in the Neuropsychiatric and Behavioral Health Services (NPBHS) CORE Services.
In this job, you will answer phone calls, help at the front desk, schedule patient appointments, and do other office tasks. Key Responsibilities:
- Answering Phone Calls: You will be the first person people call when they need help. You will answer the phone and direct calls to the right person or department.
- Helping at the Front Desk: You will greet patients, help them check in when they arrive, and make sure their patient charts are ready for their visit.
- Scheduling Appointments: You will help patients set up their appointments and make sure their information is recorded correctly in the system.
- Insurance Verification: You will check insurance details for patients to make sure their benefits are correct and record the information for the finance team.
- Monitoring Documents: You will help make sure charge documents (records of services provided to patients) are collected and processed correctly.
- Updating Referrals: You will keep track of referrals and authorization dates to make sure patients get the treatments they need.
- Other Office Tasks: You may be asked to help with other administrative tasks as needed to keep the office running smoothly.
Qualifications:
- Understanding of Insurance Plans: It’s important to know about insurance plans like Medi-Cal, HMO’s, PPO’s, and how they work for patients.
- Basic Knowledge of Psychiatric Terms: Knowing some simple psychiatric terms will help you understand the work you’re doing and communicate with patients and staff.
- Using Computer Systems: You will need to be able to use computers to register patients, schedule appointments, and update information. Experience with systems like Care Connect (EPIC) is helpful but not required.
- Using Office Software: You should know how to use programs like Microsoft Word, Outlook, and Windows to help with your tasks.
- Basic Math Skills: You will need to know basic math for things like handling payments and processing documents.
- Typing Skills: You should be able to type quickly and accurately to enter patient details and keep records updated.
- Good Communication: You must be able to speak clearly and write well to help patients and communicate with other staff.
- Teamwork: You will need to work well with other people and be able to get along with staff and patients.
Other Skills that are Helpful (but not required):
- Familiarity with NPBBHS and Medical Enterprise Services: Knowing how the department works will help, but it’s not necessary to start.
- Experience with Care Connect (EPIC): If you already know how to use the EPIC system, it will make your work easier, but it’s not a must.
